La Exactlly Software Pvt Ltd (“Exactlly”, “we”, “us” or “our”) respects the privacy of individuals whose personal data we process.

This Privacy Notice explains how we handle personal data when you visit exactlly.com, request information or a product demonstration, contact us, apply for a position with Exactlly, or otherwise interact with us through our public website.

Where an Exactlly product, mobile application, customer portal or customer-specific implementation has separate privacy terms or contractual arrangements, those terms may apply to that processing.

2. Personal Data We Collect

The personal data we collect depends on how you interact with us.

Product demonstrations and business enquiries

When you request a demo or contact us about our products or services, we may collect:

• your name
• company or organisation name
• work email address
• phone number, where provided
• information you provide about your business requirements or enquiry
• subsequent communications relating to your request

Job applications

When you apply for a position with Exactlly, we may collect:

• full name
• email address
• phone number
• role applied for
• years of experience
• current location
• resume or resume link
• cover note or message
• professional, educational and employment information contained in your application or resume
• information exchanged with you during the recruitment process

Website and technical information

When you use our website, the following technical information may be processed:

• IP address
• browser and device information
• pages visited
• date and time of visits
• referring page or website
• analytics identifiers placed or read through your browser
• standard server and security logs

Where you reach our website through a campaign link and you have allowed analytics, the website also records the campaign reference contained in that link for the duration of your visit, so that an enquiry can be associated with the campaign it came from. If you decline analytics, this is not recorded. See section 8.

3. Why We Use Personal Data

We process personal data only for lawful purposes connected with our relationship or interaction with you. Depending on the context, we may use personal data to:

• respond to enquiries
• arrange and provide requested product demonstrations
• understand the business requirement associated with an enquiry
• communicate with prospective customers about their request
• process and assess job applications
• communicate with candidates during recruitment
• provide customer or support-related communications
• operate, maintain and secure our website
• understand website usage and improve the website
• maintain appropriate business and security records
• comply with applicable legal obligations
• establish, exercise or defend legal claims where necessary

Where personal data is voluntarily provided to us for a specified purpose, we use it for that purpose and related steps reasonably necessary to fulfil the request.

Where processing relies on consent, the consent may be withdrawn in accordance with applicable law.

4. How We Share Personal Data

We do not sell personal data.

Personal data may be made available, where necessary, to:

• authorised Exactlly employees and personnel who need the information for their work
• service providers that support our website hosting, content delivery and website security
• service providers that support our business email and communications
• service providers that support website analytics
• professional advisers where reasonably necessary
• government, regulatory, law-enforcement or judicial authorities where disclosure is required or permitted by law

Service providers processing personal data on our behalf are expected to handle the information only for the relevant purpose and subject to appropriate contractual, confidentiality and security requirements.

5. International Processing

Some service providers used in operating our website or communications may process information from locations outside India. Where personal data is transferred or made available outside India, Exactlly handles such processing subject to applicable Indian law and any restrictions prescribed by the Government of India.

6. Data Retention

We retain personal data only for as long as it is reasonably required for the purpose for which it was collected, for an ongoing business or recruitment relationship, or where retention is necessary to comply with law, resolve disputes, maintain security records or establish or defend legal claims.

When the relevant purpose has been completed and continued retention is not required by law or another lawful ground, personal data will be deleted, anonymised or otherwise disposed of in accordance with our applicable retention practices.

7. Security

We use reasonable technical and organisational safeguards designed to protect personal data from unauthorised access, disclosure, alteration, loss or destruction. Access to personal data is limited according to business need and appropriate operational controls.

No method of transmission or storage is completely secure, and therefore absolute security cannot be guaranteed.

8. Cookies and Analytics

We use Google Analytics to measure how visitors use our website, so that we can improve it. Analytics is optional and is not required for the website to work.

Google Analytics is not activated when you first arrive. You are asked whether to allow or decline analytics, and it is only loaded if you allow it. If you decline, the analytics script is not loaded and no analytics identifier is placed through your browser. Essential website functions — including the enquiry, demo request and job application forms — work either way.

You can change your decision at any time using the Privacy Choices link in the website footer. Where you have allowed analytics, we also record the campaign reference from a campaign link, as described in section 2; where you have declined, we do not.

Our website does not use advertising, remarketing or behavioural-advertising technologies. Standard server and security logs are kept as part of operating the website. You can also control cookies through your browser settings.

9. Your Privacy Rights

Subject to applicable law, you may have the right to:

• obtain information about personal data being processed about you
• request correction of inaccurate or misleading personal data
• request completion or updating of personal data
• request erasure of personal data where applicable
• withdraw consent where consent is the basis of processing
• raise a grievance regarding our handling of your personal data
• nominate another individual to exercise applicable rights in the event of death or incapacity, where provided by law

We may request information reasonably necessary to verify your identity before acting on a privacy request.

10. How to Exercise Your Rights or Raise a Grievance

To exercise an applicable privacy right, withdraw consent where relevant, or raise a privacy grievance, please contact us at sales@exactlly.com.

Please provide sufficient information for us to identify the relevant interaction or record and understand your request. We will review and respond to privacy requests and grievances within the period required by applicable law.

Where applicable under the Digital Personal Data Protection Act, 2023 and the rules made under it, a Data Principal may pursue a complaint before the Data Protection Board of India after using the grievance mechanism available from Exactlly.

11. Children

Exactlly’s public website and enterprise software marketing activities are intended for businesses and adult professionals. We do not knowingly seek to collect personal data from children through our public enquiry or demonstration forms.

If we become aware that personal data of a child has been submitted through a public website form in circumstances where it should not have been collected, we will take appropriate steps in accordance with applicable law.

12. Changes to this Notice

We may update this Privacy Notice from time to time to reflect changes in our practices, website or applicable law. The updated version will be published on this page with a revised “Last updated” date.

Where a change requires fresh consent under applicable law, we will seek that consent separately rather than treating continued website use as consent.
